How to Clean Up Duplicate Transactions in QuickBooks Online: A Small Business Guide

When your QuickBooks Online (QBO) file is cluttered with duplicates, your revenue looks artificially inflated, expenses appear higher than reality, and account balances drift far away from your actual bank statements.

Next, check your bank feed under Transactions → Bank Transactions. Before clicking to add everything in the "For Review" tab, scrutinize the list. Running Reports to Spot Hidden Patterns

When a visual scan isn't enough, running a specific report will force the duplicates into the light. Go to your Reports tab and generate a Transaction Detail by Account report.

To make the data manageable, customize the settings. Narrow the date range to the specific month or quarter you are reviewing, and sort the data by amount rather than date. When sorted by amount, identical transactions group together immediately. You can also sort by vendor or customer to spot instances where you might have double-billed a client or paid the same vendor twice in one day.

The Cleanup Process: Delete or Exclude?

Finding duplicates is only half the battle; removing them requires precision. Before deleting anything, figure out which version is the accurate one. Ask yourself:

  • Is one of the entries already reconciled?
  • Is one linked to a specific bill or invoice?
  • Does one contain attached receipts or notes?

Always keep the most complete, verified version.

How you handle the duplicate depends on its origin. If the duplicate was manually entered, simply open the transaction, select More, and click Delete. However, if the duplicate came from the bank feed, select the transaction in the feed and choose Exclude. This prevents it from importing and messing up your books. After cleanup, immediately run a Profit & Loss and Balance Sheet to verify your balances tie out to your bank statements.
